Privacy Policy

Short version: we collect your email address when you join our waitlist. We use it only to contact you about KeepNet. We don't sell it, share it with advertisers, or do anything unexpected with it.
1. Who we are
KeepNet is a fishery management platform built and operated by Keyholeai Ltd, trading as KeepNet, based in Harrogate, North Yorkshire, UK.
For the purposes of UK data protection law, Keyholeai Ltd (trading as KeepNet) is the data controller responsible for your personal data.

2. What data we collect and why
Waitlist sign-ups (current)
When you submit your email address on keepnet.io, we collect:
- Your email address
- The date and time of submission
We use this to contact you about KeepNet's early access programme, product updates, and founding member opportunities. Our lawful basis is legitimate interests — you have actively expressed interest in a product and we are following up on that interest.
Discovery call requests
If you contact us via email to request a discovery call, we collect your name, email address, and any details you include in your message. We use this solely to respond to your enquiry. Our lawful basis is legitimate interests.
When you become a customer (future)
When KeepNet's platform is live and you sign up as a fishery operator, we will collect additional information including business name, contact details, billing information (processed by Stripe — see section 5), and operational data such as bookings and session records. We will update this policy before collecting any additional data.
Angler data collected through the platform (future)
Fishery operators using KeepNet will collect data about their own customers (anglers) through the platform. In this context, the fishery operator is the data controller for their anglers' data, and KeepNet acts as a data processor on their behalf. We will hold a Data Processing Agreement with all fishery operator customers.
3. What we do not collect
We do not currently use cookies for tracking or analytics. We do not run advertising pixels or tracking scripts. We do not collect payment card details directly — all payments are handled by Stripe.
4. How long we keep your data
- Waitlist data: until you ask us to remove you, or 24 months after your submission if we have had no meaningful engagement — whichever comes first.
- Enquiry emails: retained in our email account in line with normal business correspondence practices, generally up to 3 years.
- Customer data (future): for the duration of your subscription plus 6 years (to comply with HMRC record-keeping requirements).
5. Who we share your data with
We share data only with service providers who help us operate KeepNet, and only to the extent necessary:
- Google LLC — our waitlist form submissions are stored in Google Forms / Google Sheets. Google processes data under their own terms as a data processor. See Google's Privacy Policy.
- ImprovMX — email forwarding service for our keepnet.io email addresses. Emails sent to us pass through ImprovMX before reaching our inbox. See ImprovMX's Privacy Policy.
- Stripe, Inc. (future, at launch) — payment processing. Stripe is the data controller for payment card data. See Stripe's Privacy Policy.
We do not sell, rent or trade your personal data to any third party. We do not share your data with advertisers.
6. Your rights under UK GDPR
You have the following rights regarding your personal data:
- Access: request a copy of the data we hold about you.
- Rectification: ask us to correct inaccurate data.
- Erasure: ask us to delete your data (subject to legal retention obligations).
- Restriction: ask us to limit how we use your data while a dispute is resolved.
- Objection: object to processing based on legitimate interests.
- Portability: request your data in a machine-readable format.
- Withdraw consent: where processing is based on consent, you may withdraw it at any time.

If you are unhappy with how we have handled your data, you have the right to lodge a complaint with the UK's data protection supervisory authority:

8. International transfers
Some of our service providers (including Google and Stripe) may process data outside the UK. Where this occurs, we rely on appropriate safeguards such as UK adequacy decisions or Standard Contractual Clauses to ensure your data remains protected.
9. Changes to this policy
We will update this policy as KeepNet grows and our data practices evolve. Material changes will be communicated by email to anyone on our waitlist. The date at the top of this page shows when it was last updated.
